Job Description

We are seeking a highly organized and proactive Virtual Assistant to provide comprehensive administrative and operational support to our property management teams. This part-time, remote role is ideal for an detail-oriented individual with a strong ability to manage multiple tasks, communicate effectively, and maintain confidentiality. You will play a crucial role in ensuring the smooth daily operations of our property portfolios by handling various administrative duties, tenant communications, and documentation management.

Key Responsibilities

  • Manage and respond to tenant inquiries via email and phone in a timely and professional manner
  • Assist with the preparation and distribution of lease agreements, notices, and other legal documents
  • Coordinate maintenance requests and follow up with residents and vendors to ensure timely resolution
  • Maintain and update property management software records, ensuring accuracy and completeness
  • Schedule appointments, showings, and meetings for property managers
  • Process invoices, track expenses, and assist with basic bookkeeping tasks
  • Prepare reports and presentations as needed for property performance reviews
  • Conduct market research for rental rates and property trends
  • Assist with social media management and online reputation monitoring for properties
  • Organize and maintain digital filing systems and databases

Required Skills

  • Minimum of 2 years of experience in an administrative support role, preferably in real estate or property management
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to work independently and prioritize tasks effectively
