Job Description
We are seeking a highly organized, proactive, and detail-oriented Virtual Assistant to specifically support our clients who are online coaches. This is a part-time, 100% remote position where you will play a crucial role in enabling coaches to focus on their core expertise by managing their administrative, technical, and marketing support needs. The ideal candidate thrives in a remote environment, possesses excellent communication skills, and has a passion for helping others succeed. You will be an indispensable partner, ensuring our coaches’ operations run smoothly and efficiently.
Key Responsibilities
- Manage email inboxes, schedule appointments, and organize calendars for multiple online coaches.
- Assist with social media scheduling, content repurposing, and basic community management.
- Support course creation and management platforms (e.g., Kajabi, Teachable, Thinkific) including uploading content and managing student access.
- Perform CRM management (e.g., HubSpot, ActiveCampaign, ConvertKit) including list segmentation, automation setup, and report generation.
- Create and format presentations, documents, and spreadsheets using Google Workspace or Microsoft Office Suite.
- Conduct research for content creation, market trends, and competitive analysis.
- Handle client communication and support inquiries, ensuring timely and professional responses.
- Assist with light bookkeeping and expense tracking.
- Set up and manage online meeting platforms (e.g., Zoom) and webinar events.
- Provide technical troubleshooting for common online tools and platforms used by coaches.
Required Skills
- Proven experience as a Virtual Assistant, Executive Assistant, or similar administrative role, with specific experience supporting online coaches or small businesses.
- Proficiency with G Suite (Gmail, Calendar, Docs, Sheets, Slides) and Microsoft Office Suite.
- Strong organizational and time management skills, with the ability to prioritize tasks independently.
- Excellent written and verbal communication skills.
- Familiarity with various online scheduling tools (e.g., Calendly, Acuity Scheduling).
- Ability to learn new software and tools quickly.
- High level of discretion and confidentiality.
- Reliable high-speed internet connection and a dedicated home office setup.
Preferred Qualifications
- Experience with CRM platforms such as ActiveCampaign, ConvertKit, or HubSpot.
