Job Description

RBC is seeking a dedicated Remote Assistant to provide comprehensive administrative and operational support to a portfolio of creative entrepreneurs who are part of our innovative programs and client base. This part-time role is perfect for someone who thrives in a dynamic environment, possesses excellent communication skills, and is adept at managing multiple priorities. You will play a crucial role in enabling our creative entrepreneurs to focus on their core work by handling various support tasks, contributing to their efficiency and success.
Key Responsibilities
- Manage calendars, schedule meetings, and coordinate appointments across multiple time zones for entrepreneurs.
- Prepare, edit, and format documents, presentations, and correspondence with a high degree of accuracy and professionalism.
- Conduct research on industry trends, market data, and potential collaborators as requested.
- Assist with social media scheduling, content organization, and basic community management tasks.
- Handle email management, prioritize communications, and draft responses on behalf of entrepreneurs.
- Organize and maintain digital files and databases, ensuring easy accessibility and confidentiality.
- Coordinate travel arrangements and expense reports as needed.
- Provide technical support for virtual meetings and online collaboration tools.
- Liaise with internal RBC teams and external partners to facilitate project execution and information flow.
- Support with basic bookkeeping and invoicing tasks using relevant software.
- Proactively identify areas for process improvement and implement solutions to enhance efficiency.
Required Skills
- Minimum 3 years of experience as an Executive Assistant, Virtual Assistant, or similar support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Exceptional organizational and time management skills with the ability to multitask effectively.
- Strong written and verbal communication skills in English (French is a strong asset).
- Proven ability to work independently and proactively in a remote environment.
- Experience with project management tools (e.g., Asana, Trello) and CRM software.
- Discretion and experience handling confidential information.
- High level of attention to detail and accuracy.
Preferred Qualifications
- Post-secondary education in Business Administration, Marketing, Communications, or a related field.
- Experience working with entrepreneurs, startups, or individuals in creative industries.
- Familiarity with social media platforms and basic content management systems.
- Knowledge of basic accounting principles and bookkeeping software (e.g., QuickBooks, Xero).
- Bilingualism (English and French).
