Job Description

We are seeking a highly organized, proactive, and tech-savvy Remote Assistant to provide indispensable support to a portfolio of creative entrepreneurs using the Mailchimp platform. This part-time role is perfect for someone passionate about helping small businesses succeed, has excellent communication skills, and can manage a diverse range of administrative and marketing support tasks. You will be a critical behind-the-scenes player, ensuring our creative clients can focus on their craft while their operational and marketing needs are handled efficiently.

Key Responsibilities

  • Manage and maintain client schedules, appointments, and calendars.
  • Handle email correspondence and organize inboxes for multiple clients.
  • Assist with social media scheduling and content preparation.
  • Perform data entry, research, and compile reports as needed.
  • Coordinate and schedule virtual meetings and manage related logistics.
  • Provide basic administrative support including document creation and organization.
  • Assist with light bookkeeping and expense tracking.
  • Support clients with Mailchimp platform usage, including list management, campaign setup, and reporting (training provided).
  • Prepare presentations and marketing materials.
  • Proactively identify areas for process improvement and efficiency for clients.

Required Skills

  • Proven experience as a virtual assistant, administrative assistant, or similar role (2+ years preferred).
  • Exceptional organizational and time management skills.
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets).
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively in a remote environment.
  • High level of discretion and confidentiality.
  • Strong problem-solving abilities and attention to detail.

Preferred Qualifications

  • Familiarity with marketing automation platforms, particularly Mailchimp.
  • Experience working with creative professionals or small business owners.

  • Experience with project management software (e.g., Asana, Trello).
