Job Description

We are seeking a highly organized and proactive Remote Assistant to support our dynamic team of professional coaches and trainers. This is a part-time, 100% remote position offering flexibility and the opportunity to contribute to impactful work. The ideal candidate will be a self-starter with excellent communication skills, capable of managing multiple priorities in a fast-paced environment. You will play a crucial role in ensuring our coaches and trainers have the administrative and logistical support they need to deliver exceptional client experiences and focus on their core competencies.

Key Responsibilities

  • Manage scheduling and calendar coordination for multiple coaches and trainers.
  • Prepare and format training materials, presentations, and workshop documents.
  • Handle client communications, including email correspondence and follow-ups.
  • Organize and maintain digital files and client databases.
  • Assist with invoicing, expense reporting, and basic bookkeeping tasks.
  • Coordinate logistics for virtual training sessions and webinars.
  • Conduct research as needed to support program development or client needs.
  • Provide general administrative support to ensure smooth operations.
  • Proactively identify and implement process improvements for efficiency.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with scheduling software (e.g., Calendly, Acuity Scheduling)
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to work independently and manage multiple tasks
  • Attention to detail and problem-solving skills
  • Reliable internet connection and a dedicated home office space

Preferred Qualifications

  • Previous experience supporting coaches, consultants, or trainers
  • Familiarity with CRM systems (e.g., Salesforce, HubSpot)
  • Experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams)
  • Knowledge of basic graphic design principles for presentation enhancement
  • Bilingualism (English/French) is an asset for our Canadian operations
