Job Description
We are seeking a highly organized, proactive, and detail-oriented Remote Assistant to provide essential support to our network of professional coaches and trainers. This part-time position is ideal for an individual who thrives in a virtual environment, possesses excellent communication skills, and is adept at managing multiple tasks efficiently. You will play a crucial role in enabling our coaches and trainers to focus on their core work by handling administrative, scheduling, and communication needs. This is a 100% remote position.
Key Responsibilities
- Manage and coordinate complex schedules and calendars for multiple coaches/trainers, including client appointments, workshops, and speaking engagements.
- Handle all aspects of email correspondence, filtering, prioritizing, and drafting responses as needed.
- Prepare professional presentations, workshop materials, and reports using various software tools.
- Act as a primary point of contact for clients, ensuring seamless communication and follow-up.
- Support social media presence and content scheduling for coaches/trainers on relevant platforms.
- Conduct research on industry trends, client demographics, and potential speaking opportunities.
- Maintain and update client databases and CRM systems with accurate information.
- Assist with invoicing, expense reporting, and other light financial administrative tasks.
- Organize and manage digital files and documents, ensuring easy accessibility and proper version control.
- Coordinate logistics for virtual events, webinars, and online training sessions.
Required Skills
- Proven experience as a Virtual Assistant, Executive Assistant, or similar administrative role, particularly supporting multiple individuals.
- Exceptional organizational and time management skills with the ability to prioritize and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong written and verbal communication skills with impeccable grammar and spelling.
- Experience with scheduling software (e.g., Calendly, Acuity Scheduling) and video conferencing tools (e.g., Zoom, Microsoft Teams).
- High degree of proactivity, resourcefulness, and ability to work independently.
- Discretion and experience handling confidential information.
Preferred Qualifications
- Experience working within the coaching, training, or professional development industry.
- Familiarity with CRM systems (e.g., Salesforce, HubSpot).
