Job Description

We are seeking a highly organized and proactive Part-Time Remote Assistant to provide comprehensive administrative and logistical support to our internal coaches and trainers. This role is crucial in ensuring our learning and development programs run smoothly and our educators can focus on delivering high-quality content. The ideal candidate will be detail-oriented, tech-savvy, and possess excellent communication skills, thriving in a fast-paced virtual environment.

Key Responsibilities

  • Manage and maintain calendars, scheduling appointments and meetings for coaches and trainers.
  • Coordinate logistics for virtual and occasional in-person training sessions, including platform setup, material distribution, and participant registration.
  • Prepare and format training materials, presentations, and reports using various software applications.
  • Act as the primary point of contact for participants regarding scheduling and technical queries.
  • Track and report on training attendance, feedback, and other relevant metrics.
  • Assist with research and content gathering for new training initiatives.
  • Handle confidential information with discretion and professionalism.
  • Provide general administrative support as needed to optimize the efficiency of the coaching and training team.

Required Skills

  • Proven experience in an administrative or assistant role, preferably supporting training or education functions.
  • Excellent proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (e.g., Zoom, Microsoft Teams).
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Exceptional written and verbal communication skills.
  • High degree of professionalism and ability to handle sensitive information confidentially.
  • Ability to work independently and as part of a remote team.

Preferred Qualifications

  • Experience working with learning management systems (LMS).
  • Familiarity with CRM software.
  • Prior experience in a professional services or corporate learning environment.
  • Certification in administrative support or office management.
