Job Description

We are seeking a proactive and organised Part-Time Office & Remote Assistant to join our team in Stoke-on-Trent. This hybrid role will provide essential administrative support, ensuring the smooth operation of both our physical office and remote working environments. You will be instrumental in managing schedules, coordinating communications, and supporting various departments, contributing to an efficient and productive workplace.

Key Responsibilities

  • Manage and maintain calendars, schedule meetings, and coordinate appointments for team members.
  • Prepare and distribute communications, memos, emails, and reports.
  • Organise and maintain digital and physical filing systems, ensuring accuracy and confidentiality.
  • Assist with office supply management, inventory, and procurement.
  • Coordinate travel arrangements and expense reports as needed.
  • Provide administrative support for remote teams, including setting up virtual meetings and managing online documents.
  • Handle incoming calls and correspondence, directing inquiries to the appropriate department.
  • Support ad-hoc projects and tasks as assigned by management.

Required Skills

  • Proven experience in an administrative or assistant role.
  • Excellent organisational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong verbal and written communication abilities.
  • Ability to work independently and as part of a team in a hybrid environment.
  • High level of discretion and confidentiality.

Preferred Qualifications

  • Previous experience in a financial services environment.
  • Familiarity with virtual collaboration tools (e.g., Microsoft Teams, Zoom).
  • A-Levels or equivalent qualification.
