Job Description
We are seeking a highly organised and proactive Office & Remote Assistant to join our team in Fremantle. This part-time hybrid role requires a flexible individual who can efficiently manage administrative tasks both in our office and remotely. You will be instrumental in ensuring the smooth operation of daily activities, supporting various departments, and maintaining effective communication channels across the organisation.
Key Responsibilities
- Manage and direct incoming communications, including phone calls, emails, and postal mail.
- Organise and schedule meetings, appointments, and travel arrangements for team members.
- Maintain office supplies inventory, coordinate vendor relationships, and place orders as needed.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Coordinate with remote team members to ensure seamless collaboration and information flow.
- Assist with data entry, record keeping, and comprehensive document management.
- Handle confidential information with discretion and maintain strict professionalism.
- Provide general administrative support to various teams and managers as required.
Required Skills
- Proven experience in an administrative or assistant role (1+ years).
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organisational and time management abilities with the capacity to prioritise tasks effectively.
- Ability to work independently with minimal supervision and collaboratively as part of a team.
- High level of attention to detail and accuracy in all tasks.
- Adaptability to both office and remote work environments, demonstrating self-discipline and reliability.
Preferred Qualifications
- Previous experience in the financial services industry or a large corporate environment.
- Familiarity with virtual collaboration tools (e.g., Microsoft Teams, Zoom).
- Tertiary qualification in business administration or a related field.
- Experience with calendar management software and enterprise resource planning (ERP) systems.
