Job Description

We are seeking a highly organized and proactive English-Speaking Office Manager to join our dynamic team at our Hamburg facility. This pivotal role ensures the smooth and efficient operation of our office environment, providing comprehensive administrative support and acting as a central point of contact for various internal and external stakeholders. You will be instrumental in creating a positive and productive workspace, supporting our teams with excellent organizational skills and a proactive approach.

Key Responsibilities

  • Manage general office administration, including supplies, equipment, and facility maintenance coordination.
  • Oversee reception duties, including greeting visitors, managing incoming calls, and handling correspondence.
  • Organize and schedule meetings, appointments, and travel arrangements for management and staff.
  • Prepare presentations, reports, and other documents as required.
  • Maintain organized filing systems, both physical and digital.
  • Coordinate internal communications and manage office events or team-building activities.
  • Act as a liaison with external vendors, suppliers, and service providers.
  • Assist with onboarding new employees, ensuring a smooth integration into the office.
  • Manage office budget and track expenses.
  • Ensure compliance with company policies and safety regulations within the office environment.

Required Skills

  • Proven experience as an Office Manager or Administrative Assistant (minimum 3 years).
  • Excellent command of English, both written and verbal (C1/C2 level).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and planning skills with excellent attention to detail.
  • Ability to multitask and prioritize work effectively in a fast-paced environment.
  • Exceptional interpersonal and communication skills.
  • Proactive attitude and ability to work independently as well as part of a team.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience working in a large multinational corporation.
  • Familiarity with office management software (e.g., procurement systems, HRIS light functions).
  • Basic understanding of German language for daily interactions (A1/A2 level), though not required for core job functions.
