Job Description

MLT Aikins LLP is seeking a dedicated and meticulous Court Administrator to join our dynamic team in Regina, Saskatchewan. This vital role involves providing comprehensive administrative support to our legal professionals, ensuring the efficient and organized operation of our court-related activities. The successful candidate will be instrumental in managing court filings, maintaining case documentation, scheduling, and liaising with court staff and clients, upholding the highest standards of accuracy and professionalism.

Key Responsibilities

  • Prepare, file, and serve court documents (e.g., statements of claim, affidavits, motions, orders) in compliance with court rules and deadlines.
  • Manage and organize physical and electronic case files, ensuring all documentation is accurate, up-to-date, and easily accessible.
  • Maintain calendars and schedules for lawyers, including court appearances, meetings, and deadlines.
  • Liaise professionally with court registries, opposing counsel, clients, and internal teams.
  • Conduct legal research and gather information as directed by legal professionals.
  • Assist with the preparation of trial binders, witness lists, and exhibit lists.
  • Process incoming and outgoing correspondence and manage communication flow related to court matters.
  • Maintain confidentiality and handle sensitive information with utmost discretion.
  • Perform general administrative duties such as data entry, photocopying, scanning, and reception coverage as needed.

Required Skills

  • Proven experience as a legal administrative assistant or court administrator.
  • Thorough understanding of court procedures, rules, and filing requirements in Saskatchewan.
  • Excellent organizational and time management skills with strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High level of professionalism and discretion.

Preferred Qualifications

  • Legal Assistant Diploma or Paralegal Certificate from an accredited institution.
  • Experience with legal practice management software (e.g., PC Law, Time Matters).
  • Familiarity with electronic filing systems.
  • Knowledge of various areas of law relevant to court proceedings (e.g., litigation, family law).
