Job Description
We are seeking a highly organized and proactive Bilingual Administrative Assistant to join our team in Baton Rouge, Louisiana. This hybrid role requires an individual proficient in both English and Spanish to provide comprehensive administrative support, ensuring smooth daily operations and effective communication within our diverse workforce and external stakeholders. The ideal candidate will be a detail-oriented problem-solver with excellent interpersonal skills, capable of managing multiple tasks in a fast-paced corporate environment.
Key Responsibilities
- Provide high-level administrative support to various departments and executives, including scheduling meetings, managing calendars, and arranging travel.
- Act as a primary point of contact for Spanish-speaking employees, clients, and partners, facilitating clear and accurate communication both written and verbal.
- Prepare, edit, and proofread documents, presentations, and reports in both English and Spanish.
- Organize and maintain filing systems, both electronic and physical, ensuring easy retrieval of information.
- Handle incoming calls, emails, and correspondence, directing inquiries to the appropriate personnel.
- Coordinate and prepare for meetings, including setting up conference rooms, distributing agendas, and taking minutes.
- Assist with onboarding new employees, especially those who primarily speak Spanish, by providing translation support for orientation materials and communications.
- Manage office supplies inventory and place orders as needed.
- Support special projects and initiatives as assigned by management.
Required Skills
- Fluency in both English and Spanish (written and spoken)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Exceptional organizational and time management skills
- Strong verbal and written communication abilities
- Ability to maintain confidentiality and exercise discretion
