Job Description
We are seeking a highly organized and proactive Administrative Assistant with excellent English communication skills to join our dynamic team in Hamburg. This role offers flexible hours and the opportunity to support various departments with a wide range of administrative tasks. The ideal candidate will be a detail-oriented problem-solver, capable of managing multiple priorities in a fast-paced corporate environment. You will play a crucial role in ensuring the smooth operation of daily administrative functions, contributing directly to our team’s efficiency and success. This is a hybrid position, offering a balance of remote and on-site work.
Key Responsibilities
- Manage and maintain schedules, appointments, and travel arrangements for management and team members.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate meetings, conferences, and corporate events, including venue booking and catering.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Develop and maintain filing systems, both electronic and physical, to ensure efficient record-keeping.
- Process invoices, expense reports, and budget tracking.
- Order and maintain office supplies and equipment.
- Assist with special projects and research initiatives as assigned.
- Facilitate internal and external communication, ensuring information flows smoothly across teams.
- Support onboarding processes for new employees.
Required Skills
- Proven experience as an Administrative Assistant or in a similar administrative role (minimum 2 years).
- Fluent in English (written and spoken) is essential.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- Strong interpersonal and communication skills.

Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
- Proficiency in German is a plus.
