Job Description

We are seeking a proactive and highly organized Administrative Assistant to join our dynamic team in Munich. This role is crucial for ensuring the smooth operation of our daily activities, providing comprehensive administrative support, and acting as a key point of contact for internal and external stakeholders. The ideal candidate will be fluent in English, possess excellent communication skills, and have a proven ability to manage multiple tasks efficiently in a fast-paced environment. No German language skills are required for this specific role, but an interest in a multicultural work setting is a plus.

Key Responsibilities

  • Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organize and coordinate internal and external meetings, including booking venues, arranging catering, and distributing materials.
  • Handle incoming calls and emails, directing inquiries to the appropriate department or individual.
  • Process invoices, expense reports, and other financial documentation in compliance with company policies.
  • Maintain an organized filing system, both physical and digital, ensuring easy retrieval of information.
  • Order and manage office supplies, ensuring adequate stock levels.
  • Assist with special projects and initiatives as assigned by management.
  • Facilitate communication between various departments and external partners.

Required Skills

  • Fluency in English (written and verbal)
  • Minimum of 2 years of experience in an administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong attention to detail and accuracy.
