Job Description

We are seeking a motivated and organized Entry-Level Admin Assistant to join our dynamic team in Chuka, Tharaka-Nithi County. This is a hybrid role, requiring a balance of in-office presence and remote work, with a flexible schedule designed to support work-life balance. The ideal candidate will provide comprehensive administrative support to ensure the efficient operation of the office, assisting various departments and contributing to a productive work environment. Key Responsibilities

  • Manage and direct incoming calls, emails, and correspondence, ensuring timely and professional responses.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff and management.
  • Prepare and edit documents, reports, presentations, and other materials with accuracy and attention to detail.
  • Maintain organized filing systems, both digital and physical, ensuring easy retrieval of information.
  • Order and manage office supplies inventory, ensuring adequate stock levels and cost-efficiency.
  • Assist with data entry and basic bookkeeping tasks, maintaining confidentiality and integrity of information.
  • Support staff with various administrative tasks, including photocopying, scanning, and mail distribution.
  • Facilitate seamless communication between departments and external stakeholders.
  • Assist in the preparation of budgets, reports, and financial statements as required.
  • Handle confidential information with discretion and professionalism.

Required Skills

  • Excellent communication skills, both written and verbal, in English and Swahili.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management abilities with a proven capacity to prioritize tasks.
  • Exceptional attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively as part of a diverse team.
  • Basic understanding of office procedures and administrative principles.
  • High level of integrity and confidentiality.

Preferred Qualifications

  • Diploma or certificate in Business Administration, Office Management, or a related field.
  • Previous experience in an office environment, even through internships or volunteer work.
  • Familiarity with financial services operations or banking processes.
  • Experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams) and collaboration tools.
