Job Description
We are seeking an experienced and highly organized Court Administrator to join our legal support team in Jacksonville, Florida. The Court Administrator will be responsible for managing and coordinating all administrative aspects related to court proceedings, ensuring efficient workflow, and maintaining meticulous records. This pivotal role requires a deep understanding of court procedures, excellent communication skills, and a proactive approach to problem-solving. The ideal candidate will provide comprehensive administrative support to attorneys, paralegals, and clients, contributing to the seamless operation of our legal matters.
Key Responsibilities
- Manage and maintain all court calendars, deadlines, and scheduling for assigned cases.
- Prepare, proofread, and file legal documents, pleadings, motions, and correspondence with various courts (state and federal).
- Coordinate and schedule hearings, depositions, meetings, and trials, including managing logistics for remote appearances.
- Serve as a primary point of contact for court clerks, opposing counsel, and internal legal teams regarding case status and administrative matters.
- Monitor and track case progress, ensuring all deadlines are met and documents are filed accurately and on time.
- Organize and maintain electronic and physical case files, ensuring easy retrieval of information.
- Assist with trial preparation, including organizing exhibits, witness lists, and trial binders.
- Process and manage invoices, expense reports, and other financial documentation related to court costs.
- Conduct legal research as needed to support case administration and compliance.
- Implement and maintain office procedures and systems to optimize administrative efficiency.
Required Skills
- Minimum of 3 years of experience as a Court Administrator, Legal Secretary, or similar role within a law firm or court system.
- Strong knowledge of state and federal court rules, filing procedures, and electronic filing systems.
- Exceptional organizational and time management skills with the ability to prioritize multiple tasks and deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal practice management software.
- Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
- Ability to work independently and collaboratively in a fast-paced environment.
- Demonstrated ability to handle confidential information with discretion.
Preferred Qualifications
- Associate's or Bachelor's degree in Legal Studies, Business Administration, or a related field.
- Paralegal certificate from an ABA-approved program.
- Experience with document management systems like NetDocuments or iManage.
- Notary Public commission.
