Job Description
We are seeking a highly organized and proactive Part-Time Virtual Assistant to provide exceptional administrative and client support for our client services teams. This 100% remote role requires a dedicated professional capable of managing multiple tasks efficiently, communicating effectively, and maintaining confidentiality. You will play a crucial role in ensuring the smooth operation of client-facing activities, providing essential support that enables our teams to focus on strategic client engagement. Key Responsibilities
- Manage and maintain calendars, including scheduling appointments, meetings, and conferences for client service professionals.
- Prepare and format professional documents, presentations, and reports using Microsoft Office Suite.
- Coordinate and organize virtual meetings, including setting up technology, preparing agendas, and distributing minutes.
- Act as the primary point of contact for internal and external stakeholders, handling inquiries and directing them appropriately.
- Assist with client communication, including drafting and proofreading emails and other correspondence.
- Perform data entry, maintain accurate records, and update client relationship management (CRM) systems.
- Handle confidential information with discretion and professionalism.
- Support ad-hoc administrative projects and tasks as required by the client services team.
Required Skills
- Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
- Excellent verbal and written communication skills in English.
- Strong organizational and time management abilities with keen attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Ability to work independently and as part of a remote team.
- High level of discretion and ability to handle confidential information.
- Reliable internet connection and a dedicated home office setup.
Preferred Qualifications
- Prior experience working in a professional services, consulting, or financial services environment.
- Familiarity with CRM software (e.g., Salesforce).
- Experience with virtual collaboration tools beyond Microsoft Teams (e.g., Zoom, Slack).
- Relevant certifications in administrative support or virtual assistance.
