Job Description
We are seeking a highly motivated and experienced Office Manager to oversee the daily operations of our Burlington, Vermont branch. This pivotal role ensures the efficient functioning of our office, providing comprehensive administrative support to our financial advisors and leadership team. The ideal candidate will be a proactive problem-solver with exceptional organizational skills, capable of managing multiple priorities in a fast-paced environment. Key Responsibilities
- Manage all aspects of office administration, including ordering supplies, equipment maintenance, and managing vendor relationships.
- Provide administrative and secretarial support to the Branch Manager and financial advisors, including scheduling and correspondence.
- Serve as the primary point of contact for all internal and external office-related inquiries.
- Coordinate meetings, events, and travel arrangements for office staff as required.
- Maintain a clean, organized, and secure office environment, ensuring compliance with health and safety regulations.
- Assist with onboarding new employees, including workspace setup, IT coordination, and orientation.
- Liaise with HR for local office-specific needs, policy implementation, and employee support.
- Oversee budget tracking for office expenses and identify opportunities for cost efficiency.
- Handle incoming and outgoing mail, packages, and deliveries.
- Facilitate the visa sponsorship process for new hires, working in close collaboration with HR and external legal counsel.
Required Skills
- Minimum 3 years of experience in an office management or senior administrative role.
- Exceptional organizational and time management skills with a strong attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize, and manage projects effectively.
